Salary: Based upon qualifications (estimated range: $60,000 -$75,000)

About the Role
Ben Hall Law is a quickly growing law firm seeking to add a detail-oriented and highly organized executive assistant to the team. A successful candidate will manage the administrative tasks of the managing attorney, including managing appointments, emails, travel arrangements, among other things. You will also be responsible for tracking KPIs on a daily, weekly, monthly, quarterly, and annual basis and presenting reports to the managing attorney. The successful candidate will also verify and track expenses to ensure proper accounting. This position requires a high level of professionalism and confidentiality, as you will be privy to attorney calendars and email inboxes.

Key Responsibilities
  • Manage complex schedules and calendars.
  • Collaborate with clients, business colleagues, and opposing counsel to arrange and prioritize meetings, resolve schedule conflicts and coordinate meeting logistics.
  • Assist in preparation, organization and distribution of communication, agendas, presentations, and reports.
  • Coordinate travel arrangements for trials, legal conferences, and other events.
  • Assist with managing attorney’s inbox including responding to urgent correspondence and/or forwarding urgent communications to appropriate staff.
  • Assist management with logistics for firm meetings, trainings, and events.
  • Record, track, and analyze key performance metrics of the firm and compile reports for management.
  • Maintain firm records, reports, and correspondence.
  • Manage multiple projects and cases with competing deadlines while adapting to changing priorities to meet client and attorney needs.
Qualifications
  • Education: High School Diploma or GED.
  • Experience: 5+ years of experience as an executive assistant.
  • Skills:
    • Strong organizational skills and attention to detail;
    • Experience with virtual meeting platforms and scheduling systems;
    • Exceptional proofreading skills;
    • Ability to prioritize assignments in a dynamic environment and adapt to shifting demands;
    • Proficiency in Adobe Acrobat;
    • Proficiency in Microsoft Office 365 suite; and
    • Ability to work independently and as part of a team.
